Retraining requirements can get triggered because of any of the following five reasons &#8211;\u00a0\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Changes in the workplace\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Inadequacies in an employee\u2019s performance<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Changes in applicable laws and regulations\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Inspection reveals that there are deviations in employees\u2019 knowledge and standard procedures.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Changes in the type of equipment to be used<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Besides, health and safety laws such as the <a href=\"https:\/\/www.empowerelearning.com\/osha-training-online\/\" target=\"_blank\" rel=\"noopener noreferrer\">OSHA<\/a> require employers to retrain workers under certain circumstances.\u00a0<\/span><\/p>\n<p><i><span style=\"font-weight: 400;\">But, how to conduct such training, that too if you have employees who work on a limited basis.<\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">We suggest the following five-step procedure for your retraining program.\u00a0\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Prepare the list of <a href=\"https:\/\/www.empowerelearning.com\/\">training courses<\/a> for your retraining program\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">List out the employees who would need to attend the training<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Assign the retraining program to the employees\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Involve supervisors\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Follow up<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">It seems simple, right? Design \u2013 Assign \u2013 Follow up. Three steps. Unfortunately, it\u2019s not so. This same process can become really messy for organizations with 100s\u2019 of employees. Especially so if the employees are already done with their annual training for the calendar year.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Read on to find out how you can organize such training sessions using your learning management system. We\u2019ll use the emPower LMS as the preferred tool. <\/span><\/p>\n<h2>4 Easy Steps to retrain your employees in the Age of LMS<\/h2>\n<p><span style=\"font-weight: 400;\">We\u2019ll use the <a href=\"https:\/\/www.empowerelearning.com\/compliance-training-lms\/\" target=\"_blank\" rel=\"noopener noreferrer\">LMS<\/a> for all four steps &#8211; Designing your retraining program, assigning and inviting employees to the training, and monitoring the outcomes of the training.\u00a0<\/span><\/p>\n<ol>\n<li>\n<h3><b> Design your retraining program.\u00a0<\/b><\/h3>\n<\/li>\n<\/ol>\n<h4 style=\"padding-left: 40px;\"><b>Figure out the goal of the training.\u00a0\u00a0<\/b><\/h4>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">First, you need to understand why you need to conduct this training. There are two possibilities &#8211;\u00a0<\/span><\/p>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">If the retraining effort is the result of modifications in the <a href=\"https:\/\/www.empowerelearning.com\/blog\/how-to-protect-yourself-from-workplace-harassment\/\">workplace<\/a>, deployment of new equipment, or changes in industrial laws and regulations, you should contact the concerned person. You\u2019ll need information on what the changes are, how they are different, and how\u2019d they affect employees and the workplace. The information would help you create new training material.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">If the retraining program is a result of poor performance by an employee or an outcome of a regulatory inspection, you\u2019d want to know the comments of the inspection team, what changes they have suggested, and which training the employee should repeat.\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h4 style=\"padding-left: 40px;\"><b>Create a new training group.<\/b><\/h4>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">Now that you understand the goal, it\u2019s time to create a training group for the program. This training group would let you centralize all your course material, reduce the effort spent in emailing, and ease up the monitoring of the retraining program. It would help with record-keeping too. Search the training library of your LMS, and look for the relevant training courses, policies, and documents. Prepare the content list for your training program, and add all the documents to the training group. You may not have the necessary material online, especially if the retraining requirement is the result of a change to government regulations, changes to the workplace, or the introduction of new equipment. In such a case, contact your vendor and get the relevant training material added to your learning portal.\u00a0<\/span><\/p>\n<ol start=\"2\">\n<li>\n<h3><b> Assign employees to the retraining program.<\/b><\/h3>\n<\/li>\n<\/ol>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">Once you finish adding training courses, policies, and documents to the group, it\u2019s time to add the list of trainees to it. Consult the policy document or the audit recommendations (whichever triggered the retraining) for the date by which you need to complete the training. Contact all concerned supervisors\/managers, and understand the availability of your trainees. Use the information to create a training schedule for the group.\u00a0<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">If the retraining effort is for one or two employees only, you may want to skip the above steps. An easier method would be to make individual course assignments for the employees.\u00a0<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">This completes the preparations for your retraining program. Now, it\u2019s time to inform the employees about the training program.<\/span><\/p>\n<h4 style=\"padding-left: 40px;\"><b>Invite employees to the training program.\u00a0<\/b><\/h4>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">You can invite employees by sending them an email request. Send an email to the group welcoming everyone to the retraining program.\u00a0<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">The email should inform them about the \u2013<\/span><\/p>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">The purpose of retraining<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Courses, policies, and surveys that they need to complete<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">A link to their learning portal<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">The due date of the training program\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">Once done, you\u2019d want to schedule nagging emails. If the retraining involves in-person seminars, more employees may turn out well-prepared for the scheduled activity. If it\u2019s computer-based training, you can have employees attend to the content during night shifts as well.\u00a0<\/span><\/p>\n<ol start=\"4\">\n<li>\n<h3><b> Monitor the training program.\u00a0<\/b><\/h3>\n<\/li>\n<\/ol>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">Now that the retraining is in full swing, you should begin monitoring the program. Focus your attention on two pieces of data \u2013\u00a0<\/span><\/p>\n<ol>\n<li style=\"list-style-type: none;\">\n<ol>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Report of group performance, and<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Report of non-compliant users.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">Use this data to send nagging emails to users who are way behind others. This information would also allow you to contact their shift supervisors if necessary. Or, you could involve their manager in the training effort. This can easily be achieved by forwarding the non-compliance report of their team members to them.\u00a0<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-weight: 400;\">Such reports can really come in handy. For one thing, they help supervisors reschedule jobs so that an employee can be sent for training. And second, they let you <\/span><a href=\"https:\/\/www.empowerelearning.com\/blog\/how-to-manage-your-compliance-training-easily-and-effectively\/\"><span style=\"font-weight: 400;\">keep a quick tab<\/span><\/a><span style=\"font-weight: 400;\"> on training ongoing across the organization. Besides, by creating a new training group for the retraining program, you\u2019d have two sets of records to present to your auditor \u2013\u00a0<\/span><\/p>\n<ol>\n<li style=\"list-style-type: none;\">\n<ol>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Records to prove that employees attended their yearly training program<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Records to prove that employees attended retraining as and when required<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">Employee training is an integral part of most OSHA standards. Moreover, <\/span><a href=\"https:\/\/www.osha.gov\/laws-regs\/standardinterpretations\/1988-05-06\" rel=\"nofollow noopener\" target=\"_blank\"><span style=\"font-weight: 400;\">retraining is essential<\/span><\/a><span style=\"font-weight: 400;\"> under certain circumstances.
